Position Summary
To provide the relevant department with a sound administration function focusing on coordinating, supporting and organising.
Position Responsibilities
- Develop, implement and maintain administrative systems
- Provide confidential administrative and organisational support
- Co-ordinate setup of offices and contractor facilities
- Coordinate and attend meetings as required, record minutes and outstanding actions and prepare agenda and associated documentation prior to each meeting
- Accurate and timely preparation of reports, letters, presentation material and other correspondence
- Manage calendar for department Manager as required including liaison with internal/external stakeholders
- Coordinate and ensure the smooth running of any meetings/events/ visitors
- Administering of invoices / expenses claims / company credit card expenses for assigned department
- Input payroll data into the payroll system and follow up with HR and/or Payroll on any queries.
- Control and co-ordinate supply of office resources
- Provide support/training to other Administrators in Methanex systems and procedures
- Ensure staff and contractor awareness and compliance with Methanex policies, procedures, and applicable standards
- Work with other Methanex Business Administrators to provide back-up reception desk services on an equal shared rostered basis
- Participate in the Methanex NZ Administrators team, attending monthly meetings
- Any other tasks as required within the range of existing competences
Position Qualifications
- Experience and Skills
- NCEA or equivalent
- Minimum of 5 years broad Administration Experience
- Sound event management, travel and meeting coordination experience
- Microsoft Word, Excel, PowerPoint (to an advanced level)
- Pro-active in identifying opportunities to improve process efficiency
- Ability to maintain utmost confidentiality
- Advanced time-management, planning and organisational skills
- High level of attention to detail
- Proven ability to prepare basic correspondence and compile reports
- Excellent interpersonal and communication skills (oral and written)
- Ability to manage several competing priorities at once
